CULTURAL PROGRAM SCHEDULE AND TIMELINES The AC2019 committee is putting all efforts to get some of the greatest artists of Assam to perform and make the Vancouver Convention, truly a memorable one. CULTURAL PROGRAM GUIDELINES AND DURATION
Here are the guidelines on the duration of each type of program (including preparation and wrap‐up time). Please try NOT to exceed these durations.
We will try to accommodate as many requests for programs within the three cultural evenings. However, due to limited time during these evenings, it may not be possible to do so. The Cultural and/or Children’s Committees will do the due diligence and select programs that can maximize the degree of entertainment during the cultural evenings.

We are conducting fun and exciting competitions for all children
Saturday, July 6th, 2019: Time: 9.30 am to 11:30 am - Art Competition Group 1: Age 3 to 5 years: Free coloring competition Group 2: Age 6 to 10 years: Topic will be sent to participants 2 weeks in advance by email. Group 3: Age 11 to 15 years: Topic will be sent to participants 2 weeks in advance by email. Coloring sheets and all materials will be provided. Participants are free to choose from given mediums like crayons, coloring pencils, watercolor. |
Sunday, July 7th, 2019: Time: 9.30 am to 11:30 am Group 1: Age 3 to 5 years: Age appropriate Puzzle making and Fancy Dress Competition Group 2: Age 6 to 10 years: Fancy Dress and Extempore Speech Competition Group 3: Age 11 to 15 years: Fancy Dress and Extempore Speech Competition Each participant will be given 5 minutes to speak extempore on a topic picked by him/her from a draw. The child will be given 2 minutes prior to the speech to think over the topic. |

COMPETITIONS 2019
Children Chorus (Krishna Saharia Das Memorial Trophy)
Children Chorus Competition money for all participating teams will remain the same.
Adult Chorus (Anima Chakravartty Memorial Trophy)
$1000 dollars prize money for Adult Chorus Winner
Adult Bihu Dance (Geeta Deka Memorial Trophy)
$1000 dollars prize money for Ladies Bihu dance, to be divided as first, second and third prizes ($500, $300 & $200) as in the last convention.
CHILDREN'S AND ADULTS CHORUS COMPETITION GUIDELINES

Song choice: Songs can be any Assamese song sung creatively as a chorus with the exception of National/Regional Anthem.

Group size: The group size should be a minimum of 4 participants for children and 6 participants for adults, up to a maximum of 18 participants.
- Age: 6 years up to 14 years for Children's Chorus. Adults Chorus group ages from 15 and above.

Performance Time: Time allotment to each group should be 5 minutes (adults), 4 minutes (Children), excluding set up and dismissal times.

Setup & Dismissal: Maximum time allowed for setup is <= sec, teardown <=90 sec.

Costume: Any appropriate costume is acceptable as long as the participants appear to be part of a group.

Performance: All team members must participate equally and must be well coordinated.

Background Music: Contestants must supply their own background tracks on a single CD, a pen drive or live musical instrument (no additional points. Judges should be informed accordingly).
Please Do NOT upload the track on the website as each team needs to keep their songs confidential. -
No Favoritism: Contestants and their families are not allowed to have contacts with contest judges before or after the competition.

Judging Scores: Judging will be scored using a 60 points system: Tune, Rhythm, Diction, teamwork, Performance -10 points each, Dress 5 points, Preparation 3 points, Song Selection 1 point, set up and Dismissal 1 point.

Teams will be judged on the following areas with scoring based on the highest overall totals. Judges will use rubric exactly matching the Points table below:
ADULT (JENG) BIHU DANCE COMPETITION GUIDELINES

Dance: This is women's (Jeng) Bihu competition.

1. Song Choice: Songs should be traditional Bihu songs. Lyrics must be appropriate for a family setting. The accompanying music may be live or pre-recorded. No extra points are awarded for dancing to live music.

2. Group size: The group size should be a minimum of 4 up to a maximum of 12 participants.

3. Performance Time: Should not exceed 6 minutes.

4. Costumes: Participants should wear ethnic Assamese Bihu outfit.

5. Performance: All team members must participate equally and must be well coordinated. In addition, the following aspects will be judged – liveliness of the overall performance, individual and overall contributions, facial expressions, use of props and creativity.
6. Terms of Agreement: By submission of an application and entering the contest, each group represents and warrants his or her compliance with these rules and regulations. No group will be permitted to participate unless they acknowledged and agreed to the rules and regulations. - 7. No Favoritism: Contestants and their families are not allowed to have contacts with contest judges before or after the competition.
- 8. Judging Score: Judging will be scored using a 70 points system: Jujona, Coherence, Technicality, Creativity/Choreography, Complexity-10 points each, Presentation – 15 points, Dress - 5 points.
Note: Participants are strongly advised to bring one back-up copy of their track (if they are using one) on a USB drive.

General guidelines for Cultural programs:
1.The Friday evening shall be the Inaugural evening with formal Cultural programs. 2. All Competitions shall be completed on Saturday. 3. Informal and Formal fashion show time shall be distributed equally between two groups. 4. Incorporate quality children program with Adult Cultural program. 5. Television Telecast shall cover all areas of three days Convention. 6. The guest artist from Assam should be given the stage no later than 9 pm for all evenings. 7. Person/persons performing solo or duet on one evening should not get preference to sing again next evening. Limit 2 songs for the local artist. This rule does not apply to the guest artists from Assam. 8. Maximum 25 minutes time slot may be assigned for the participants from each city or area. This will apply to the city/area where multiple entrees are entered. 9. Screen programs for quality purpose. 10. Time slots will be filled on first come first serve basis. 11. No entrees will be taken after the deadline. 12. No last- minute change of venue. 13. Preference of group performance over solo will be encouraged. 14. Each participant cannot participate in more than two items (excluding all Competitions, group performance and Fashion Show). 15. Duration of each type of program (including wrap up time): a. Solo - Song/Dance: 5 to 10 minutes. 16. Guideline with introduction/description of each item in short will be given to emcees. Emcees speech must not exceed 2 minutes. 17. The sequence of the program will be decided by the cultural committee. 18. The brochure of the cultural programs for all three days will be included with the welcome package at the registration booth. 19. The convention program schedule should be displayed outside the registration area during the duration of the Convention. |
